EVENT REGISTRATION, CANCELLATION & REFUND POLICY

1. ABOUT THIS POLICY
This policy applies generally to registrations for congresses, seminars, workshops, training programmes, courses, conferences and other events organised, promoted or administered by PERSATUAN OBSTETRIK & GINEKOLOGI NASIONAL KKM (PROGEN).
Because PROGEN’s website primarily provides event registration and professional education services, ordinary retail return provisions generally do not apply. This policy explains how event registration cancellations, transfers and refunds are handled.
2. EVENT REGISTRATION
A registration becomes confirmed after the required registration information has been submitted and the applicable payment has been successfully received or confirmed by PROGEN.
Participants should review the event, participant category, ticket quantity, event date, venue and applicable fees before completing registration.
3. CANCELLATION BY A PARTICIPANT
Unless different terms are stated for a particular event, participants who wish to cancel should contact PROGEN as soon as possible at admin@progenkkm.com.
Refund eligibility may depend on the event, timing of the request, costs already committed by PROGEN, venue and supplier commitments, payment processing charges and other circumstances associated with the event.
Where an event-specific cancellation deadline or refund schedule is published, that schedule takes priority over this general policy.
4. CIRCUMSTANCES WHERE A REFUND MAY NOT BE AVAILABLE
Unless otherwise stated for a particular event, PROGEN may decline a refund where:
• The participant does not attend the event.
• The participant arrives late or leaves early.
• Required registration information has not been provided.
• The participant cannot attend for personal, professional or travel-related reasons.
• The event has already taken place.
• A third-party cost or commitment has already been incurred and cannot reasonably be recovered.
• The event-specific registration terms state that the applicable fee is non-refundable.
5. REGISTRATION TRANSFERS
Where practical and subject to PROGEN’s approval, a participant may request to transfer a registration to another eligible person.
Transfer requests should normally be submitted before the event. The replacement participant must satisfy any eligibility, accreditation or participant-category requirements applicable to the event.
PROGEN may refuse a transfer where capacity, accreditation, participant-category or other operational restrictions apply.
6. EVENT CANCELLATION OR POSTPONEMENT BY PROGEN
If PROGEN cancels an event, PROGEN will communicate the available arrangements to registered participants.
Depending on the circumstances, PROGEN may offer:
• Transfer of the registration to a rescheduled event;
• Credit toward another eligible PROGEN event; or
• A refund of the applicable registration fee.
If an event is postponed, PROGEN may offer participants the option to transfer their registration to the new date or another arrangement communicated for that event.
7. FORCE MAJEURE AND UNFORESEEN EVENTS
PROGEN may postpone, relocate, modify or cancel an event because of circumstances beyond its reasonable control, including government requirements, public health emergencies, natural disasters, severe weather, venue issues, industrial action, security concerns, transportation disruption or other circumstances that make the event impractical or unsafe.
PROGEN will make reasonable efforts to communicate significant changes and provide the applicable options for registered participants.
8. REFUND PROCESSING
Where a refund is approved, PROGEN will normally process it using the original payment method where practicable. Processing times may depend on the payment provider or financial institution.
Participants may be asked to provide information reasonably necessary to verify the registration and process the refund.
9. ADMINISTRATIVE OR PAYMENT PROCESSING FEES
Where permitted and disclosed before payment, certain administrative, payment-processing or third-party charges may be non-refundable.
Any applicable event-specific fee or deduction will be communicated in the relevant event terms.
10. HOW TO REQUEST A REFUND OR CANCELLATION
Email admin@progenkkm.com and include, where available:
• Full name of registered participant
• Event name
• Registration or order number
• Email address used during registration
• Reason for the request
• Relevant payment or registration information
PROGEN may request additional information to verify the request.
11. EVENT-SPECIFIC TERMS
Different events may have different cancellation deadlines, refund schedules, transfer rules or registration conditions. Those terms will apply to the relevant event where expressly published.
